Assistant Administrator
Summary
The Assistant Administrator is a key individual in the successful operations of a residential care facility. This individual works closely with all aspects of the operation, including, but not limited to the: Dietary, Maintenance, Activities, Housekeeping, and Resident Care departments. He or she must be able to fill in for the Executive Director at any time. The Assistant Administrator primarily oversees the medical records, medication management systems, and staffing. The Assistant Administrator must be able to be assigned by the facility R.N. to pass medications and be delegated to perform treatments and medical procedures including subcutaneous injections (insulin shots). Additionally, the Assistant Administrator must be well versed in all operational policies, procedures and reporting systems. This individual must have a detailed knowledge of the values and expectations of the company and must be able to communicate this information to staff in an effective manner. He/she must work to maintain a clean, safe, and comfortable environment that meets the needs of all residents. This will be accomplished by performing the following duties personally or through staff.

Essential Responsibilities
- Demonstrate high standards of professional and ethical conduct.
- A genuine interest in geriatric work.
- Be able to secure the cooperation of others, and be willing to cooperate with other personnel with the ability to lead and take direction.
- Responsible for assisting in the overall implementation of the residential care program.
- Coordinates interdepartmental teamwork in the absence of the Executive Director.
- Develop and maintain a good working relationship with local, state, and federal agencies.
- Assist the Executive Director to ensure the overall profitability of the facility.
- Be able to perform routine audits, on records and duties, in order to ensure that services are communicated, delivered, and documented as prescribed by resident assessments, physician orders, and rules and regulations.
- Monitor facility and legal safety requirements. Ensure that facility policies and procedures are followed.
- Complete reports as necessary.
- Develop staffing schedules to ensure adequate staffing patterns to meet the needs of the residents.
- Maintain assignment (task) sheets for care staff, bathing schedules, and monitor daily to ensure compliance.
- Perform orientation and training of new employees, as required by state rules and regulations.
- Fill-in in a variety of positions in the event of staff illness, or absence.
- Be on call to support staff and staffing requirements.
- Responsible for hiring and staffing the facility 24 hours a day 7 days a week in the absence of the Executive Director.
- Assisted with staff meetings as needed.
- Ensure that the staff are familiar with their duties and are following prescribed plan of care, rules and regulations, and policies and procedures.
- Ability to manage medical records documentation systems, including, but not limited to: medical administration records, transcribing doctors orders, resident history files, activities of daily living documentation, and facility communication systems.
- Ability to be assigned to pass medications and delegated to perform treatments and procedures.
- Ability to assist with the modification of resident behavior in accordance with the care plan, monitors staff interventions, and recommend changes.
- Be knowledgeable with basic computer software that the facility uses.
- Be familiar with all equipment and safety devices throughout the building.
- Ability to perform resident assessments.
- Works with the Executive Director to assess the needs of all residents with the assistance of allied health professionals.
- Work with the Executive Director to ensure that all resident’s personal care needs are met.
- Reviews resident care daily.
- Works with residents, families, friends, facility staff, and Executive Director to move in, move out, and handle the day to day needs of the residents under the direction of the Executive Director.
